Your first reader is a parser
Most applications of any size pass through an applicant tracking system before a person sees them. That software reads the file and tries to pull out structured information — name, contact details, employers, dates, titles, skills — to populate a database. Anything it cannot parse is either lost or garbled, and a resume that reads beautifully to a human can arrive as fragments.
The features that break parsers are, unhelpfully, the ones that make a template look designed. Multiple columns are the main offender: text laid out side by side is often read straight across, interleaving two unrelated columns into nonsense. Information in headers and footers is frequently skipped entirely, which is why contact details belong in the body of the page rather than the header. Text inside images or graphics is invisible, since there is nothing to read. Tables, text boxes, and unusual bullet glyphs all cause trouble to varying degrees.
What works is unfashionable and effective: a single column, standard section headings that say exactly what they are — Experience, Education, Skills — dates in a consistent format, a common typeface, and no critical information rendered as a graphic. Save as PDF unless the posting explicitly asks for a Word file, since PDF preserves your layout while remaining readable by parsers. It is also worth naming the file properly: 'Sarah-Mitchell-Resume.pdf' rather than 'resume_final_v3.pdf'.
Writing the content that gets you read
The strongest change most resumes need is a shift from duties to results. 'Responsible for social media accounts' describes a job description; 'Grew social following from 2,000 to 15,000 in eighteen months' describes what happened because you were there. Numbers do this work more efficiently than adjectives — figures for scale, money, time saved, or percentage change all give a reader something concrete. Where you have no numbers, name the outcome instead of the activity.
Tailoring matters more than length. Job postings state what they want in fairly plain language, and a resume that uses the same terms for the same things is easier for both a keyword search and a hiring manager to match. That does not mean stuffing in keywords; it means describing your actual experience in the vocabulary the role uses. Rewriting the top third of the document for each significant application is usually enough.
On length, one page is right early in a career and two pages are entirely normal after roughly a decade — the real test is whether every line is doing work, not the page count. Cut objective statements that say nothing, skills sections listing basic office software, references-available-on-request, and roles from twenty years ago that no longer bear on what you do. Then proofread it properly and have someone else read it too: typos in a document whose whole purpose is to demonstrate care are noticed, and you will not see your own.
