How to create a printable ID card — 4 steps

Employee ID cards & badges

Build an employee ID card online with department, role, employee number, and an optional QR code that links to a directory or verification page. Corporate, healthcare, and government-style templates are available in plain or branded finishes, and every card supports a back side for policy text, a barcode, or an emergency contact.

Student & school ID cards

What you can make with this ID card maker

This tool is for making a finished card design that you can print or send to someone else. It is not an identity-checking service and it does not issue an official identity document. You choose a starting design, replace the sample information with your own details, and decide which information belongs on the front and back.

It works well for employee badges, school and college cards, visitor passes, membership cards, event passes, and crew cards. The right template depends on the situation: a plain card is usually easier to print in an office, while a patterned design can make an event or visitor pass easier to recognise at a glance.

What goes on the card

You can add a person's name, role, department, class, organisation, ID number, phone number, or other custom fields. A photo and logo can be added when the design needs them. The editor also supports an optional QR code or barcode, which can hold a link, an ID value, or another piece of information that a scanner can read.

The back of the card is useful for details that should not compete with the person's name on the front. For example, you might put a return instruction on a visitor badge, a verification link on an employee card, or an emergency contact and expiry date on the back. Keep only the information people actually need; a crowded card is harder to read and harder to print well.

Templates, size, and downloads

The page currently has 52 templates, with portrait and landscape options. You can filter them by category, orientation, and style, or search for a use case such as school, hospital, visitor, membership, or crew. Plain templates are available when you want a simple card without a decorative background.

Cards are designed at the standard CR80 size of 85.6 × 54 mm (3.375 × 2.125 inches). You can download the finished design as a PDF for printing or as a PNG image for sharing and other design work. The output is a design file; you will still need card stock, a printer, or a badge-printing service to produce a physical card.

Making one card or a batch

For one card, choose a template and open the editor from its “Use this template” link. For a group of people, the editor has a bulk option that can read a CSV file and match each row with an optional photo. It can create a multi-page PDF or a ZIP of PNG files, which is more practical than entering every person's name by hand.

CSV files and photos are read in the browser. If you are working with staff or student information, check the rows and photo names before exporting, and keep the source spreadsheet somewhere safe. A missing photo or misspelled filename will leave that person with the template's default image instead.

What this tool does not do

This tool creates a printable layout; it does not verify that a person is who they say they are, check an employee number, or make a QR code secure by itself. A QR code simply stores the value you give it. If it links to a private directory or verification page, the security of that destination is your responsibility.

It also does not print plastic cards, add a magnetic stripe, or replace an organisation's approval process. Before using a card for access or identification, confirm the required fields, photo rules, expiry details, and printing specifications with the organisation that will use it.

What to do after you make the card

Open the downloaded file and check the name, photo, ID number, dates, QR code, and both sides before printing. If you need a different design, return to the template list and try another portrait, landscape, plain, or patterned option. For a set of cards, keep the CSV and photo filenames consistent so you can correct one row and export the batch again without rebuilding the design.

The editor processes the design in your browser rather than sending the card details to a server. That is useful for personal, employee, and student information, but it does not remove the need to handle the downloaded files carefully once they are saved or printed.
